How to build a B2B lead list, step by step
How to build a B2B lead list that converts: define your ICP, choose sources, find decision makers, enrich and verify contacts, add signals, keep it clean.

To build a B2B lead list, define your ideal customer profile, pull matching companies from live sources, find the decision makers at each one, then enrich and verify their contact details. Add a buying signal to every row so each lead has a reason to hear from you now, and refresh the list regularly.
A good lead list is the difference between outreach that gets replies and outreach that gets ignored. This guide covers a process that works whether you use free sources or a paid data tool.
Step 1: Write down your ideal customer profile
Every list starts with a clear definition of who you sell to. Without it, you end up with a big list of people who will never buy. Cover:
- Firmographics: industry, company size, region, growth stage.
- Buyers: the titles that sign and the titles that feel the pain.
- Pains: the problems you solve, in the buyer's words.
- Buying signals: events that suggest a company may be ready, such as new leaders, funding or hiring.
- Disqualifiers: who you should not contact, such as companies too small to afford you or in sectors you do not serve.
Our free ideal customer profile template walks you through each field and lets you copy or download the result.
Step 2: Choose your sources
Different sources suit different lists. Most teams combine two or three.
| Source | Good for | Watch out for |
|---|---|---|
| LinkedIn and Sales Navigator | Finding people by title, company and activity | Manual unless you use a tool |
| B2B contact databases | Large firmographic filters and contact details | Data quality varies by region |
| Company followers and post engagers | People already interested in your space | Needs a way to extract and filter |
| Your CRM and past deals | Lookalikes of customers you already won | Can be out of date |
| Website visitor identification | Companies already researching you | Covers only your own traffic |
| Events, communities and directories | Niche segments | Small and often manual |

Step 3: Build the account list first
Start with companies, not people. An account list lets you check fit before spending time finding contacts.
- Filter by your firmographic criteria.
- Remove disqualified companies and current customers.
- Remove companies you are already talking to.
- Add a fit score or tier, so the best accounts get the most attention.
A focused list of well-chosen accounts usually performs better than a big list of loose matches.
Step 4: Find the right people at each account
For each account, find the people in your buying committee: usually a champion, a budget owner and sometimes a technical evaluator. Search LinkedIn by company and title, check the company's team pages, and look at who posts about the problem you solve. Our guide on how to find decision makers covers this step in detail.
Step 5: Use warm sources to find interested people
Cold lists built from filters are only one option. People who follow a competitor's company page, or who comment on posts about your category, have already shown interest in the space. Extracting those lists and filtering them against your ICP gives you a warmer starting point. Read our guides to extracting LinkedIn company followers and targeting competitor followers to learn how.
Step 6: Enrich and verify
Once you have names, add the details you need to reach them:
- LinkedIn profile URL
- verified work email
- phone number, if you call
- current title and company, checked against a second source
Verify every email before sending. Remove duplicates, people who have left the company and anyone who has opted out.
Step 7: Add a reason to reach out
The most useful column on a lead list is not the email address. It is the reason this person should hear from you now. Add the signal next to every row:
- "Started as Head of Sales two months ago"
- "Company announced a new funding round"
- "Commented on a post about outbound tools"
- "Follows two competitors on LinkedIn"
That reason becomes the first line of your message. Our free LinkedIn message generator turns a signal into three short openers.
Step 8: Organise the list for outreach
Structure the list so it is easy to work:
| Column | Example |
|---|---|
| Company | Acme Analytics |
| Tier | A |
| Name and title | Priya Shah, Head of Revenue Operations |
| LinkedIn URL | linkedin.com/in/... |
| Verified email | priya@... |
| Signal | Joined in the role recently |
| Owner and status | Rohan, not contacted |
Load it into your CRM or outreach tool, or export as CSV. Segment by signal so you can write one message per segment rather than one message for everyone.
Free or paid: what you actually need
You can build a good list for free if you have time. LinkedIn search, company websites, job boards and press releases cover most of what you need for a few dozen accounts a week. The cost is hours, not money.
Paid tools make sense when volume or speed matters. A contact database saves time on emails and phone numbers. Sales Navigator adds filters, alerts and saved lists. A signal tool watches for new leaders, funding and engagement so you do not have to. Choose tools for the step that takes your team the most time, and skip the rest until you need them.
Step 9: Keep it fresh
People change jobs and companies change direction, so a list goes stale quickly. Refresh it on a schedule, remove bounces right away, and add new signals as they appear. A smaller list you keep clean beats a large one you never update.
Common mistakes
- Starting with a database export instead of an ICP.
- Buying a generic list that other sellers are already using.
- Leaving out the signal, which forces generic messaging.
- Sending to unverified emails and damaging your domain.
- Never measuring which segments reply, so the list never improves.
To check whether a list is worth the effort, our lead generation ROI calculator turns list size, reply rate and win rate into expected meetings and customers.
Where GTM Plays fits
GTM Plays builds a live, signal-based list on LinkedIn for you. It finds people showing intent signals, scores fit against your ICP, and writes and sends LinkedIn messages from your own account. Replies arrive in one inbox. It does not book meetings by itself. You can export to CSV or sync to HubSpot, Salesforce, Pipedrive, Zoho CRM, Attio, folk, Breakcold, Instantly, Smartlead, SmartReach, HeyReach, Slack, Clay and Zapier, plus webhooks, a REST API and an MCP server, and email and phone enrichment credits are available.
For a one-off list, Live Leads extracts a LinkedIn company page's followers or a post's engagers. A Standard order costs 1 credit per follower. An ICP-Filtered order also carries a 500-credit filter fee. Most orders take 2-6 hours, and lists are delivered as CSV/Excel or as files ready for Clay, Instantly or Smartlead. The 100 free signup credits are enough to test a Standard order.

Frequently asked questions
What is a B2B lead list?
A B2B lead list is a set of companies and named people who match your ideal customer profile, with the details you need to contact them, such as LinkedIn profile, work email and the reason they are a fit now.
Should I buy a lead list or build one?
Building is usually better. Bought lists are often out of date, shared with other sellers and not matched to your ICP. Building your own from live sources lets you choose the right people and add a reason to reach out.
How big should a B2B lead list be?
Big enough to test a message and small enough to personalise. Start with a focused segment you can work well, measure replies, then expand the segments that respond.
Can GTM Plays build a lead list for me?
GTM Plays finds people showing intent signals on LinkedIn, scores them against your ICP and can export to CSV or your CRM. Live Leads can extract a company page's followers or a post's engagers. It does not book meetings by itself.
