How to get more sales meetings without more spam

How to get more B2B sales meetings: tighten your ICP, reach people with a reason to talk, ask for the meeting well, cut no-shows and know when to get help.

To get more sales meetings, reach the right people when they have a reason to talk, start with a conversation rather than a pitch, and make the meeting ask short, specific and easy to accept. Then follow up, confirm every meeting to cut no-shows, and measure each step so you know where meetings are being lost.

More meetings rarely come from more messages. They come from better targeting, better timing and a better ask. This guide walks through each step of the path from first touch to a meeting that actually happens.

Find where meetings are being lost

Before changing anything, look at your funnel:

Stage Question to ask If it's weak, fix
Targeting Are we reaching people who fit and have a need? ICP, list sources, signals
First touch Do people reply? Message, timing, profile
Conversation Do replies turn into interest? Questions, relevance, offer
Meeting ask Do interested people agree to meet? The ask itself, the format
Attendance Do booked meetings happen? Confirmation, reminders, value

Most teams find one stage is the bottleneck. Fixing it usually adds more meetings than working harder on every stage at once. Our lead generation ROI calculator shows how changes at each stage affect meetings and revenue.

1. Tighten your ideal customer profile

The fastest way to more meetings is fewer wasted conversations. Define exactly which companies and roles have the problem you solve and can pay to fix it, and who to leave out. Our free ideal customer profile template helps you write that down.

2. Reach people with a reason to talk

People agree to meetings when the timing is right. Look for signals:

  • a new leader in the team you sell to
  • funding or fast hiring
  • engagement with competitors or with content about your category
  • visits to your pricing or product pages
  • a past conversation that ended with "not now"

Each signal is a reason to reach out now and a natural first line. Our guide to sales prospecting techniques covers signal-based outreach, warm sources and referrals in detail.

3. Start a conversation, not a pitch

Asking for a meeting in the first message works for some warm leads, but for most cold outreach it is too soon. Start with a short question about their situation. Once they reply, the meeting becomes a natural next step instead of a cold request. Our free LinkedIn message generator writes short openers from a signal, and our guide on how to increase your LinkedIn reply rate covers the details.

4. Make the ask small and specific

When it's time to ask, make it easy to say yes:

  • Be specific about the purpose. "A short call to see whether X is worth solving this quarter" beats "a quick chat".
  • Keep it short. A shorter first meeting is easier to accept than a long demo.
  • Offer clear options. Suggest two times or share a booking link once they have shown interest.
  • Explain what they get. An outside view, a benchmark, an answer to a question they raised.

Example:

"Sounds like the handover between marketing and sales is the bigger issue. Would a 20-minute call next Tuesday or Wednesday help? I can share how two similar teams set that up, and you can decide whether it's worth going further."

5. Follow up without being pushy

Many meetings come after a follow-up. Space them out, add something new each time, and close the loop politely if there's no reply. Our LinkedIn follow-up message templates give examples for each step.

6. Qualify before you book

More meetings is only good if they are the right meetings. A short check before booking (is the problem real, is this the right person, is there a reasonable timeframe?) protects your calendar and your close rate.

7. Reduce no-shows

A booked meeting that doesn't happen is a lost meeting. To improve attendance:

  • send a calendar invite right away with a clear title and a one-line agenda
  • confirm the day before with a short, useful message
  • make rescheduling easy rather than letting people silently skip
  • open the meeting by confirming the agenda and their goal

8. Use more than one channel

Some buyers live on LinkedIn; others respond to email or phone. A short sequence across channels, with consistent messaging, gives more people a way to say yes. Make each touch reference the others so it feels like one conversation.

9. Revisit "not now" and closed-lost

Past conversations are often the warmest source of new meetings. People who said "not now" months ago, or deals that stalled, may have new priorities. A short note that refers to the earlier conversation and mentions what has changed often reopens the door.

10. Know when to get help

If no one in your team has time to prospect, an agency can run outreach and book meetings for you. Our guide to appointment setting services compares the main agencies and pricing models. If your team can handle conversations but needs help finding and starting them, software is usually the cheaper route.

A 30-day plan to get more meetings

If you want a simple plan, work through the funnel one stage at a time over a month.

Week 1: targeting. Rewrite your ICP, remove poor-fit accounts from your lists, and pick two or three signals that matter most for your product. Set up a way to see those signals every day.

Week 2: messages. Write one short opener per signal and one per buyer role. Send them to a small segment and track replies. Drop any message that gets no response and rewrite it.

Week 3: the ask and follow-up. Review every conversation that went quiet. Make your meeting ask shorter and more specific, and add a follow-up step that brings something new. Revisit "not now" conversations from previous months.

Week 4: attendance and review. Add confirmations and reminders for every booked meeting. Then review the month: which signals, messages and channels produced meetings that happened? Double down on those and cut the rest.

After a month you will know where your meetings come from, which is the foundation for getting more of them.

Mistakes that cost meetings

  • Asking for a long demo in the first message.
  • Booking meetings with people who don't fit, then wondering why nothing closes.
  • Leaving booked meetings unconfirmed.
  • Following up with "just checking in" and nothing new.
  • Never revisiting old conversations.

Frequently asked questions

How can I get more sales meetings quickly?

Focus on people who already have a reason to talk: recent signals, warm sources, referrals and past conversations that went quiet. Make the ask simple and specific, and follow up. These usually produce meetings faster than new cold lists.

Why are prospects not agreeing to meetings?

Common reasons are the wrong audience, asking for a meeting before showing relevance, a vague or long ask, and no follow-up. Fix targeting and the reason for reaching out first.

How do I reduce sales meeting no-shows?

Confirm the meeting with a short agenda, send a reminder shortly before, make it easy to reschedule, and make sure the prospect understood what the meeting is for when they agreed.

Does GTM Plays book meetings?

No. GTM Plays finds intent signals, scores fit against your ICP and writes and sends LinkedIn messages from your own account. Replies arrive in one inbox, and you or your team book the meeting.
